What are we looking for 👀

We are looking for a proactive, dedicated, and open-minded person with a problem-solving attitude to join our company. You will provide direct support to the CEO and the General Manager in the management of their agenda and other administrative tasks, among many other things.


Responsibilities 🚌

CEO & General Manager Support

  • Organize and manage the CEO’s & GM’s agenda to coordinate appointments and conference calls.
  • Coordinate business travels for them and other managers including booking all flights and hotels, directions, commuting time and ground transportation
  • Organize and schedule internal and client meetings or events with an understanding of their priorities 
  • Preparation of documents
  • Ensure a high level of confidentiality


Office Managament

  • Purchasing office supplies
  • Purchasing consumables
  • Purchasing/requisitioning laptops, mouse, keyboards, mobile phones, ...
  • Managing contracts for water, telecom, fruit, ...
  • Conducting and maintaining fixed asset inventory


People

  • Managing team travel
  • Managing occupational health
  • Managing health insurance and meal cards (enrollments and cancellations)
  • Assisting in organizing events
  • Controlling access to the office
  • Ensuring compliance with office attendance


Finance

  • Going to the post office to dispatch mail
  • Occasionally assisting in sending invoices to clients


Requirements 🔍

- Fluent in spoken and written English & Portuguese, Spanish is a strong plus

- Minimum experience of 2 years in similar functions

- Working Knowledge of Microsoft Office tools

- Proactive and good in time management

- Flexibility and comfortable working in a quickly-changing environment

- Well organized and mental structure
